I have had questions from CARITAS Volunteers who signed up for DINNER at 6:00 p.m. Here is some information for them...
Usually there are more than 2 people each night preparing dinner. I suggest recruiting a Dinner Team of helpers. Check the Kitchen Refridgerator for Guest Lists, each day. The names, ages and family dietary restrictions are always
posted on the refridgerator before you get ready to prepare your night's dinner. Dinner Volunteers need to purchase all of the items necessary for your night's dinner menu, as well as getting together to prepare dinner, making sure to set the tables, [you can use anything available in the kitchen, including china dishes and flatware and napkins.] CARITAS Guests must be served Dinner by no later than 6:00 p.m., so people can eat and prepare to get ready for showers and activities by 7:00 - 7:30 p.m.. Finally, dinner volunteers MUST also clean up the kitchen, and the Parish Hall, after dinner.
This, and all Volunteer instructions are detailed on the bulletin board sign up sheets, and they will also be posted on the Kitchen Refridgerator, but do feel to call Key Volunteers, with any questions. It is really helpful if you also consult with Volunteers who have prepared dinnerss, before your date as well, so you do not plan the same meal [i.e., we do not need chicken and mac and cheese every night and some people may have allergies or may not eat pork
because they are Muslims.]
CARITAS Family Focus lists are subject to change, everyday, so it is very important to check the lists posted - before your dinner date and time - to make sure you know
how many babies, how many adults, etc.

C.A.R.I.T.A.S. VOLUNTEERS SIGN UP ON THE LIST THAT IS POSTED IN THE PARISH HALL BULLETIN BOARD NEAR THE RED DOOR.
The C.A.R.I.T.A.S board lists all of the descriptions of any of our Volunteer activities to facilitate our guests' comfort for the entire week, beginning THIS Saturday, December 26, 2009 and ending on the morning of Saturday, January 2, 2009.
Volunteers please also sign up if donating needed things: (i.e. high chairs, car seats...) please get them to the church by the morning of Saturday, December 26, 2009.
We will also need donations of baby formulas, towels, toiletries, feminine products, diapers, and shampoos and soaps and other toiletries families may not own, (i.e., travel sized lotions, chapstick, etc.)
SET UP TEAM: Please arrive at St. Thomas Episcopal by no later than 8:00 a.m., Saturday, December 26, 2009, to be preparing rooms for our guests. CARITAS plans to deliver cots and bedding and bins by no later than 9:00 a.m. to St. Thomas Episcopal Church.
CARITAS Family Focus Guests will actually arrive to their rooms, around 4:30 p.m. to St. Thomas Episcopal Church. We need to have each family's room ready and comfortable for them. They will be tired and wanting to unwind and we want to be ready for them.
SITE LEADERS: please be on site by no later than 4:00 p.m., Saturday.
DINNER VOLUNTEERS: please arrive by no later than 5:00 p.m. to make sure all the tables are set, dinner is cooked and ready to serve by no later than 6:00 p.m.
ACTIVITY VOLUNTEERS: please arrive by 6:30 p.m. to set up for 7:00 p.m.
SHOWER DRIVERS: There are no showers on the weekends and none on New Years Eve Thursday, December 31, 2009. However YMCA said showers are available on Monday, Tuesday and Wednesday and Friday, DRIVERS: please arrive by 7:30 p.m. to get families in car seats and all together in cars or vans to North Richmond YMCA for showers and back by 8:30 p.m. to the church
OVERNIGHT VOLUNTEERS: Please arrive by no later than 10:00 p.m. to relieve SITE LEADERS.
BREAKFAST VOLUNTEERS: Please arrive by no later than 5:00 a.m. to have breakfast ready to serve by 6:00 p.m. in the morning. The bus leave between 6:30 - 7:00 a.m. everyday.
LUNCH VOLUNTEERS: The day you are signed up, you are preparing lunches for the families to take with them early on the FOLLOWING morning. Leave prepared lunches in the bottom of the refrigerator, separately bag each person's lunch in their own small bag with their name on each bag. Each family member's lunch bag gets put into a larger grocery bag, with the FAMILY name clearly marked on the outside of the bag.
VOLUNTEERS: Check to see if you are volunteering as a partner with another person, on the list. Recruit people to help you, especially with Dinner prep, table setting, serving and cleaning kitchen up.
WE ALL MUST CLEAN UP: Please be respectful of others using the kitchen after you. We are ALL responsible to clean up the kitchen after each of our meals made during Dinner, Lunches, Snacks, Breakfasts, etc... We are all responsible to take out the trash, too. If you need help using the dish-washer, please ASK. We will all need to use it after meals. Please leave the kitchen clean, as you found it.
